Inclement Weather Policy- Winter/Spring 2025

Approved by Parish Board, 1.9.25

During the winter months, we encourage all members, staff and friends of First Parish in Brookline to prioritize their safety when deciding whether to travel in bad weather. If you feel the roads are unsafe, please consider staying at home and when possible, joining the service via Zoom.
The following procedures will be followed if services or events need to be canceled due to inclement weather:

  1. Decision to Cancel Services
The minister will make the final decision regarding Worship service cancellations by noon on Saturday.
If the minister is unavailable, the Board Chair will make the final decision.
Once the decision is made, the minister will notify all staff members via text message, with receipt confirmation required.
The Board Chair will notify board members.
The Music Director will communicate with the music staff.
  1. Notification Procedures
Church Voicemail: The Office Coordinator will monitor and respond to all voice mails.
Email: A cancellation notification will be sent to the congregation via a Mailchimp email blast.
First Parish in Brookline Web Page: A cancellation banner will be posted to notify members of the cancellation.
Social media: Notices will be posted on the church’s social media channels by authorized individuals.
Physical Notices: Congregants who live nearby and can safely reach the church may post physical notices at the church entrances. These will be prepared, laminated and left at church entrances ahead of time.
  1. Weekday Building, Meeting, Event Cancellations, and Closures
In case of building closure due to inclement weather, the Minister and/or Board Chair (or their designee) will make the decision.
Staff notifications will be sent by the Minister or Board Chair. Staff should prioritize safety when traveling in bad weather.
When a meeting or event is canceled on a weekday, notify the Facilities coordinator by noon (for evening meetings) to ensure timely notifications.
The Facilities coordinator will inform the group directly via phone or email.
Post physical notices on the church doors if possible.
Updates will be posted on social media, and physical notices will be placed at church entrances by congregants who can do so safely.

This policy ensures clear communication about cancellations and closures during inclement weather to keep everyone informed and safe.
